Terms of Service

These Terms of Service (“Terms”) govern access to and use of the Intrafio website, application, software, services, AI-powered workspace, integrations, and related features made available at intrafio.com and through any associated subdomains or interfaces (collectively, the “Service”).
The Service is provided by DK Investments Dawid Krawczykiewicz, a sole proprietorship registered in Poland, NIP: 5552075205 (“Intrafio”, “we”, “us”, or “our”).
By creating an account, accessing the Service, subscribing to a paid plan, or otherwise using Intrafio, you agree to be bound by these Terms. If you are using the Service on behalf of a company, organization, or other legal entity, you represent that you have authority to bind that entity to these Terms. In that case, “Customer”, “you”, and “your” refer to that entity.
If you do not agree to these Terms, you must not create an account or use the Service.
1. The Intrafio Service
Intrafio is a B2B SaaS platform providing an AI-powered workspace for business teams. The Service may include, depending on the plan and configuration:
- workspaces for organizing files, documents, folders, and business context;
- AI agents and chat functionality operating within a workspace context;
- semantic search and retrieval-augmented generation over workspace documents;
- document indexing and extraction of structured attributes from files;
- calendar functionality, including scheduled AI tasks;
- email integrations, including Gmail OAuth and/or IMAP/SMTP-based integrations;
- natural-language automation rules triggered by workspace events;
- integration with external tools through the Model Context Protocol (MCP);
- logs and activity history showing actions performed by AI agents;
- administrative functionality for organizations, users, roles, workspaces, and access control.
Intrafio is designed for business use and is not intended for personal, household, or consumer use unless expressly stated otherwise.
2. Eligibility and Account Registration
To use the Service, you must:
- be at least 18 years old or otherwise legally capable of entering into binding agreements;
- provide accurate and complete registration information;
- keep your account credentials secure;
- use the Service only in accordance with these Terms and applicable law.
You are responsible for all activity that occurs under your account, including actions taken by users you invite to your organization or workspace.
You must promptly notify us if you suspect unauthorized access to your account or organization.
We may require email verification, account activation, password reset verification, or other security steps before allowing access to certain parts of the Service.
3. Organizations, Workspaces, and Users
The Service is structured around organizations and workspaces.
An Organization is the top-level account representing a company, team, or other business entity. A Workspace is a collaborative environment within an organization where users may store files, interact with AI agents, configure integrations, create automation rules, and manage business context.
You are responsible for:
- managing users within your organization;
- assigning appropriate roles and permissions;
- ensuring that invited users comply with these Terms;
- configuring workspaces, integrations, rules, and AI access appropriately;
- ensuring that Customer Data uploaded or connected to the Service may lawfully be processed through the Service.
Administrators may have access to organization-level settings, user management, workspace management, billing information, and other administrative features.
4. Credits, Subscriptions, and Billing
Intrafio is offered on a credit-based model. Credits are the unit of consumption that powers use of the Service, including AI agent runs, chat, automation rules, scheduled AI tasks, processes, reports, and other AI-powered features. Credits are consumed as you use these features.
Access to the Service is provided through a monthly subscription to a credit package. Each subscription tier grants a fixed allowance of credits per monthly billing period at the price presented at the time of subscription or in the billing interface. Current tiers may include, without limitation, Starter, Growth, and Scale packages, as described on the pricing page. Custom credit volumes may be available under an Enterprise arrangement by separate agreement.
Your credit balance is reset to the allowance of your subscription tier at the start of each monthly billing period. Unless expressly stated otherwise, unused credits do not roll over or accumulate from one billing period to the next, and credits have no cash value and are not redeemable for money.
Payments are processed by Stripe or another authorized payment provider. By subscribing to a credit package, you authorize Intrafio and its payment provider to charge the applicable fees, taxes, and recurring subscription amounts using your selected payment method.
Stripe manages recurring payment processing and subscription billing infrastructure. Intrafio does not store full payment card details on its own systems.
Unless otherwise stated:
- subscription fees are charged in advance for each monthly billing period;
- recurring subscriptions automatically renew, and your credit allowance is replenished, each billing period until cancelled;
- you are responsible for keeping payment information accurate and up to date;
- failed payments may result in suspension, downgrade, or loss of access to credits and the Service;
- fees are non-refundable except where required by applicable law or expressly stated in writing.
You may cancel your subscription at any time through the billing interface, including the Stripe customer portal made available within the Service, or by contacting us at the support contact provided by Intrafio. Cancellation will take effect at the end of the then-current billing period; you retain access to your remaining credit allowance until that period ends, after which the subscription will not renew and the associated credits will no longer be available unless otherwise stated.
You may upgrade or downgrade between subscription tiers through the billing interface. Changes take effect according to the terms presented at the time of the change and as handled by our payment provider.
We may change pricing, credit allowances, credit consumption rates, or billing terms from time to time. For existing subscriptions, material pricing changes will apply no earlier than the next renewal period, unless otherwise required by law or agreed with you.
5. Free Credits and Credit Usage
Each new organization may receive a one-time grant of free credits when it first registers (for example, an introductory allowance of credits), provided without requiring a payment method. Free credits are intended for evaluation, testing, and limited use, and are not intended for production-critical business operations unless expressly stated otherwise.
Free credits, like subscription credits, are consumed as you use AI-powered features of the Service. When your credit balance is exhausted, AI-powered features that consume credits may become unavailable until you subscribe to a credit package or your balance is otherwise replenished. Free credits have no cash value, are non-transferable, and may expire or be withdrawn where stated.
We may modify, suspend, or discontinue free credit grants or free features at any time. We may also impose reasonable limits to protect the Service, prevent abuse, control infrastructure costs, or ensure fair use, including limits on the rate or manner in which credits may be consumed.
6. Customer Data
“Customer Data” means any data, content, files, documents, text, images, emails, metadata, prompts, outputs, calendar entries, configuration data, automation rules, or other materials submitted to, uploaded to, generated in, connected to, or processed through the Service by or on behalf of you or your users.
You retain all rights you have in Customer Data. These Terms do not transfer ownership of Customer Data to Intrafio.
You grant Intrafio a limited, non-exclusive, worldwide license to host, process, transmit, store, display, index, analyze, transform, and otherwise use Customer Data solely as necessary to:
- provide, secure, maintain, and improve the Service;
- operate AI, search, indexing, extraction, automation, calendar, email, and integration features;
- prevent or address technical issues, abuse, fraud, or security incidents;
- comply with applicable law and lawful requests;
- provide support where requested by you.
You represent and warrant that you have all rights, permissions, and legal bases necessary to provide Customer Data to the Service and to permit processing under these Terms.
7. AI Features and Outputs
The Service includes AI-powered functionality, including AI agents, chat, semantic search, document analysis, extraction of structured information, automation rules, scheduled AI tasks, and integrations with external tools.
Intrafio uses large language model providers, including OpenAI, to provide AI-powered features. This means that Customer Data, including prompts, files, document content, extracted text, metadata, email content, calendar context, automation instructions, and other workspace data, may be transmitted to and processed by OpenAI or other model providers when necessary to generate outputs, analyze content, extract information, search knowledge, execute automations, or otherwise provide the Service.
AI-generated outputs may be inaccurate, incomplete, outdated, misleading, or unsuitable for your specific purpose. You are responsible for reviewing and validating AI outputs before relying on them, especially in legal, financial, medical, employment, compliance, contractual, safety-critical, or other high-impact contexts.
Intrafio does not guarantee that AI outputs will be correct, error-free, complete, or fit for a particular purpose.
You remain responsible for decisions, actions, approvals, communications, and business processes performed using or based on AI outputs.
The Service may log AI activity, tool calls, automation steps, scheduled tasks, and related traces in order to provide auditability, transparency, debugging, and operational oversight.
8. Use of OpenAI and Other AI Model Providers
Intrafio relies on third-party AI model providers, including OpenAI, to operate core AI functionality within the Service.
By using AI-powered features of Intrafio, you acknowledge and agree that relevant Customer Data may be sent to such providers for processing. This may include, depending on the feature used:
- user prompts and chat messages;
- uploaded files and extracted document text;
- document metadata and file attributes;
- email content, headers, attachment metadata, and related context;
- calendar events and scheduled task instructions;
- workspace configuration, automation rules, and tool-call context;
- outputs, intermediate reasoning artifacts, logs, traces, and technical metadata necessary to provide, secure, monitor, or troubleshoot the Service.
Intrafio uses such providers to perform tasks such as natural-language understanding, semantic search, document analysis, information extraction, summarization, classification, generation of responses, execution planning for automation rules, and interaction with connected tools.
Where OpenAI or another AI model provider acts as Intrafio’s subprocessors or service providers, their processing is governed by the applicable provider terms, data processing terms, security commitments, and configurations selected or made available to Intrafio.
Intrafio does not authorize OpenAI or other AI model providers to use Customer Data for training or improving their general-purpose models unless such use is expressly enabled, required by the relevant provider configuration, or separately agreed. However, provider practices, retention periods, abuse monitoring, safety systems, data residency, and processing terms may depend on the specific provider, model, API, region, and configuration used at a given time.
You are responsible for ensuring that Customer Data submitted to AI-powered features may lawfully be processed by Intrafio and its AI model providers. You should not submit Customer Data to AI-powered features if you are not permitted to have that data processed by third-party AI service providers.
Intrafio may change, add, or replace AI model providers from time to time for reasons including performance, availability, cost, security, compliance, product quality, or technical requirements. Where required by applicable law or contract, Intrafio will reflect such providers in its Privacy Policy, Data Processing Agreement, subprocessors list, or other applicable documentation.
9. Automation Rules and Scheduled AI Tasks
The Service may allow users to create automation rules in natural language and schedule AI tasks through workspace calendars.
Automation rules and scheduled AI tasks may perform actions such as processing files, extracting information, interacting with workspace content, responding to triggers, saving attachments, creating calendar events, or calling integrated tools.
You are responsible for configuring automation rules and scheduled tasks carefully and for monitoring their behavior.
You must not configure automation rules or scheduled tasks to:
- violate applicable law;
- send unlawful, deceptive, unsolicited, or abusive communications;
- process data without appropriate rights or permissions;
- interfere with third-party systems;
- bypass access controls or security protections;
- make high-impact decisions without appropriate human review;
- perform actions that could cause harm, loss, or legal obligations without suitable safeguards.
We may suspend, disable, throttle, or remove automation rules, scheduled tasks, or integrations if we reasonably believe they may violate these Terms, create security risks, overload the Service, or cause harm.
10. Email, Calendar, and Third-Party Integrations
The Service may allow you to connect third-party accounts and services, including email accounts, calendar services, external tools, MCP servers, AI model providers such as OpenAI, or other business systems.
By connecting a third-party account or integration, or by using Service features that rely on third-party providers, you authorize Intrafio to access, transmit, receive, and process data through those providers as necessary to provide the requested functionality.
You are responsible for:
- ensuring that you have the right to connect the relevant account or system;
- complying with the third-party provider’s terms;
- configuring permissions, credentials, and access levels appropriately;
- monitoring connected integrations;
- removing integrations that are no longer required.
Intrafio is not responsible for third-party services, third-party APIs, outages, security incidents, changes, data availability, or limitations imposed by third-party providers.
Third-party integrations may be disabled, limited, or discontinued if the provider changes its API, terms, technical requirements, pricing, or security model.
11. Acceptable Use
You must use the Service only for lawful business purposes and in accordance with these Terms.
You must not, and must not allow users to:
- use the Service in violation of applicable law or third-party rights;
- upload, process, or transmit unlawful, harmful, infringing, defamatory, abusive, fraudulent, or malicious content;
- use the Service to generate or distribute spam, phishing, malware, deceptive content, or unauthorized communications;
- attempt to gain unauthorized access to the Service, other accounts, systems, networks, or data;
- interfere with, disrupt, overload, or degrade the Service;
- reverse engineer, decompile, disassemble, or attempt to derive source code except where such restriction is prohibited by law;
- bypass usage limits, security controls, access restrictions, or billing mechanisms;
- use the Service to develop competing products by copying protected features, workflows, user interfaces, or documentation;
- use AI features to make legally or similarly significant decisions about individuals without appropriate human review and legal basis;
- submit sensitive personal data, special category data, or regulated data unless your plan and applicable agreement expressly permit it and you have appropriate safeguards in place.
We may investigate suspected violations and may suspend or terminate access where reasonably necessary to protect the Service, other customers, third parties, or Intrafio.
12. Security
Intrafio implements technical and organizational measures designed to protect the Service and Customer Data.
The Service may include, depending on configuration:
- organization and workspace-level access controls;
- JWT-based authentication;
- role-based authorization;
- encryption of sensitive credentials such as OAuth refresh tokens, IMAP passwords, MCP headers, and environment variables;
- encryption mechanisms such as AES-256-GCM for selected sensitive data;
- audit and activity logs for AI actions;
- background job deduplication and operational safeguards;
- hosting on AWS infrastructure located in the European Union.
However, no system is completely secure. You acknowledge that use of the Service involves inherent security risks, including risks related to internet transmission, third-party integrations, user configuration, credentials, and AI-driven processing.
You are responsible for maintaining secure devices, passwords, user access, integration credentials, and internal security practices.
13. Data Hosting and Availability
Intrafio is hosted on AWS infrastructure in the European Union, unless otherwise stated in a separate agreement or product configuration.
We use reasonable efforts to keep the Service available and reliable, but we do not guarantee uninterrupted or error-free operation.
The Service may be unavailable due to maintenance, updates, infrastructure issues, third-party service failures, security incidents, force majeure events, or circumstances beyond our reasonable control.
We may perform maintenance, deploy updates, change infrastructure, or modify technical components where reasonably necessary to operate, secure, or improve the Service.
14. Intellectual Property
Intrafio and its licensors retain all rights, title, and interest in and to the Service, including software, interfaces, workflows, designs, documentation, trademarks, trade names, logos, technology, models, algorithms, and know-how.
Except for the limited right to use the Service under these Terms, no rights are granted to you in Intrafio’s intellectual property.
You must not copy, modify, distribute, sell, lease, sublicense, or create derivative works based on the Service except as expressly permitted by these Terms or applicable law.
Feedback, suggestions, ideas, or improvement requests you provide may be used by Intrafio without restriction or obligation to you, provided we do not disclose your confidential information or Customer Data in doing so.
15. Confidentiality
Each party may receive confidential information from the other party in connection with the Service.
Confidential information includes non-public business, technical, product, security, financial, operational, and customer information that should reasonably be understood as confidential.
The receiving party must use confidential information only for purposes related to these Terms and must protect it using reasonable care.
Confidentiality obligations do not apply to information that:
- is or becomes public through no fault of the receiving party;
- was already known without confidentiality obligations;
- is independently developed without use of confidential information;
- is lawfully received from a third party without confidentiality obligations;
- must be disclosed under applicable law, court order, or governmental request.
16. Data Protection and Privacy
Processing of personal data through the Service is governed by the applicable privacy policy and, where required, a separate data processing agreement.
You are responsible for determining whether Customer Data includes personal data and for ensuring that you have a valid legal basis for submitting such data to the Service.
Where Intrafio processes personal data on behalf of a business customer, Intrafio generally acts as a processor and the customer acts as controller, unless otherwise stated in a separate agreement.
You must not submit personal data to the Service unless you have provided all required notices, obtained all required consents, and satisfied all applicable legal requirements.
Additional information about data processing, subprocessors, retention, user rights, and contact details should be provided in Intrafio’s Privacy Policy and, where applicable, Data Processing Agreement.
17. Support
Support availability depends on your subscription.
Organizations using only free credits may receive documentation or community support only. Active paid subscriptions may include email support, priority support, onboarding, or other support levels as described on the pricing page or in a separate agreement.
We may provide product updates, bug fixes, improvements, or documentation changes from time to time, but we are not obligated to provide any particular feature, update, integration, or roadmap item unless expressly agreed in writing.
18. Changes to the Service
We may modify, update, suspend, discontinue, or replace features of the Service from time to time.
We will use reasonable efforts to avoid materially reducing core paid functionality during an active subscription term. However, changes may be necessary for security, legal compliance, technical reasons, third-party provider changes, AI model changes, or product development.
If a change materially and adversely affects your use of a paid plan, you may contact us to discuss available options, which may include cancellation at the end of the current billing period, unless otherwise required by law or agreed in writing.
19. Suspension and Termination
You may stop using the Service at any time. You may cancel paid subscriptions according to the billing terms applicable to your plan.
We may suspend or terminate your access to the Service if:
- you breach these Terms;
- payment is overdue or cannot be collected;
- your use creates security, legal, operational, or reputational risk;
- your account is used for abusive, unlawful, or harmful activity;
- we are required to do so by law or a third-party provider;
- continued provision of the Service is no longer commercially or technically feasible.
Upon termination, your right to access the Service will cease. We may delete or disable access to Customer Data after termination or account closure, subject to applicable law, backup retention, and any separate agreement.
You are responsible for exporting Customer Data before termination or cancellation where export functionality is available.
20. Disclaimers
The Service is provided on an “as is” and “as available” basis.
To the maximum extent permitted by applicable law, Intrafio disclaims all warranties, whether express, implied, statutory, or otherwise, including warranties of merchantability, fitness for a particular purpose, non-infringement, availability, accuracy, security, and error-free operation.
We do not warrant that:
- the Service will meet your requirements;
- AI outputs will be accurate, complete, lawful, or appropriate;
- the Service will be uninterrupted, secure, or error-free;
- integrations or third-party services will remain available;
- Customer Data will never be lost, corrupted, or unavailable;
- automation rules or scheduled tasks will always execute as expected.
You are responsible for maintaining appropriate backups, internal controls, review procedures, and business continuity measures.
21. Limitation of Liability
To the maximum extent permitted by applicable law, Intrafio shall not be liable for indirect, incidental, special, consequential, exemplary, punitive, or loss-of-profit damages, including loss of revenue, loss of business, loss of goodwill, loss of data, business interruption, or cost of substitute services.
To the maximum extent permitted by applicable law, Intrafio’s total aggregate liability arising out of or related to the Service or these Terms shall not exceed the amount paid by you to Intrafio for the Service during the three months preceding the event giving rise to liability.
The limitations above do not apply to liability that cannot be excluded or limited under applicable law.
22. Indemnification
You agree to indemnify and hold harmless Intrafio from and against claims, damages, liabilities, losses, costs, and expenses arising out of or related to:
- your use of the Service;
- Customer Data;
- your breach of these Terms;
- your violation of applicable law or third-party rights;
- integrations, automation rules, scheduled tasks, or AI-driven actions configured by you or your users;
- use of the Service by users under your organization or account.
23. Consumer Rights
Intrafio is primarily intended for business customers.
If you use the Service as a consumer and mandatory consumer protection laws apply, nothing in these Terms limits rights that cannot be excluded under applicable law.
Where the Service is purchased by an entrepreneur acting directly in connection with their business activity but where the contract is not of a professional nature for that entrepreneur under applicable Polish law, certain consumer-like protections may apply where required by law.
Any mandatory statutory rights remain unaffected.
24. Governing Law and Jurisdiction
These Terms are governed by the laws of Poland, without regard to conflict of law principles.
Unless mandatory law provides otherwise, the courts having jurisdiction over the registered business location of DK Investments Dawid Krawczykiewicz in Poland shall have exclusive jurisdiction over disputes arising out of or related to these Terms or the Service.
Before initiating formal proceedings, the parties should first attempt to resolve disputes in good faith through written communication.
25. Export, Sanctions, and Compliance
You must not use, export, re-export, or transfer the Service in violation of applicable sanctions, export control laws, or trade restrictions.
You represent that you and your organization are not subject to sanctions or located in a jurisdiction where use of the Service would be prohibited by applicable law.
26. Assignment
You may not assign or transfer these Terms without our prior written consent.
We may assign or transfer these Terms in connection with a merger, acquisition, reorganization, sale of assets, change of control, or by operation of law, provided that such assignment does not materially reduce your rights under these Terms.
27. Severability
If any provision of these Terms is found to be invalid, unlawful, or unenforceable, the remaining provisions will remain in full force and effect.
The invalid provision will be interpreted or replaced to the maximum extent permitted by law to achieve its original purpose.
28. Entire Agreement
These Terms, together with any applicable order form, pricing page, privacy policy, data processing agreement, and other documents expressly incorporated by reference, constitute the entire agreement between you and Intrafio regarding the Service.
If there is a conflict between these Terms and a signed written agreement between you and Intrafio, the signed agreement will control to the extent of the conflict.
29. Changes to These Terms
We may update these Terms from time to time.
If changes are material, we will take reasonable steps to notify you, such as by email, in-app notice, or notice on the website.
Updated Terms will become effective on the date stated in the updated version. Continued use of the Service after the effective date means you accept the updated Terms.
If you do not agree to updated Terms, you must stop using the Service and, if applicable, cancel your subscription.
